AIPOTHERY LLC ("Company," "we," "us," or "our") operates the AppSeshn salon booking and management application available at www.appseshn.com (the "Services"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Services.
By accessing or using our Services, you agree to this Privacy Policy. If you do not agree with the terms of this Privacy Policy, please do not access or use our Services.
Information We Collect
Information You Provide to Us
We may collect information that you voluntarily provide when using our Services, including:
- Account Information: Name, email address, phone number, and password when you create an account.
- Business Information: Salon or business name, address, hours of operation, service offerings, and employee/staff details (for business users).
- Customer Information: Customer name, phone number, and email address collected during booking, walk-in check-in, or account creation. Service preferences and notes (e.g., "prefers gel," "allergic to acetone") may also be stored.
- Appointment Information: Appointment dates, times, service types, technician assignments, and related notes.
- Visit and Payment Records: Service completion records, payment method, tip amounts, and total amounts. Payment card details are handled directly by our payment processors (Stripe and Square) and are not stored on our servers.
- Communications: Messages, bug reports, feature requests, and other information you provide when you contact us at hello@aipothery.com or through our Services.
- Employee Payment Information: If you are a service provider (technician/stylist), you may optionally provide your Venmo username to enable customer tipping after visits. This information is voluntarily provided and can be removed at any time from your settings.
Information Collected Automatically
When you access our Services, we may automatically collect:
- Device and Usage Data: IP address, browser type, operating system, referring URLs, pages viewed, and access times.
- Analytics Data: We use Vercel Analytics and Speed Insights to collect anonymized performance and usage metrics, including page views, navigation patterns, and Core Web Vitals.
- Error Data: We use Sentry for error monitoring. When errors occur, we may collect error messages, stack traces, request metadata, and associated user or store identifiers to diagnose and fix issues.
- Cookies and Similar Technologies: We use essential cookies for authentication and session management. These cookies are necessary for the Services to function and cannot be disabled.
- Location Data: If a store enables location verification for employee clock-in, we collect precise geolocation data from the employee's device at the time of clock-in to verify physical presence at the workplace. This data is used solely for verification and is not stored beyond the clock-in record. Location data is only collected when the employee actively initiates the clock-in process and grants browser location permission.
Information from Third-Party Integrations
- Square Integration: If you choose to connect your Square account, we may access transaction data, payment information, and order details from your Square account as authorized by you.
- Dropbox Integration: If you connect your Dropbox account for cloud backups, your store data (including customer, employee, appointment, and visit records) is exported and stored in your Dropbox account.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our Services.
- Process transactions and manage subscriptions through Stripe.
- Send appointment confirmations, reminders, cancellations, and queue notifications via SMS.
- Respond to your inquiries and provide customer support.
- Monitor and analyze usage trends to improve user experience.
- Diagnose and fix technical issues through error monitoring.
- Verify employee physical presence at the workplace when location-based clock-in is enabled by the store.
- Protect against unauthorized access and ensure the security of our Services.
- Comply with legal obligations.
SMS/Text Messaging
By providing your phone number and opting in to receive text messages through AppSeshn, you consent to receive SMS messages related to appointment bookings, reminders, confirmations, cancellations, and queue notifications. We may also send one-time verification codes for account authentication purposes. Message and data rates may apply. Message frequency varies based on your appointment and queue activity.
To opt out of SMS messages: Reply STOP to any text message you receive from us. After you send STOP, we will send you a confirmation message. You will no longer receive SMS messages from us unless you opt in again. For help, reply HELP or contact us at hello@aipothery.com.
We do not sell, rent, or share your phone number or SMS opt-in data with third parties for their marketing purposes.
How We Share Your Information
We do not sell your personal information. We may share your information in the following circumstances:
- Service Providers: We share information with third-party vendors who perform services on our behalf, including Stripe (payment processing), Telnyx (SMS messaging), Vercel (hosting and analytics), and Sentry (error monitoring). These providers are contractually obligated to use your information only as necessary to provide services to us.
- Square: If you enable the Square integration, data is shared between AppSeshn and Square as authorized by you and in accordance with Square's terms and privacy policy.
- Dropbox: If you enable the Dropbox backup integration, your store data is exported to your Dropbox account as authorized by you.
- Venmo: If a service provider adds their Venmo username, it is displayed to customers who have completed a visit with that provider, enabling optional tipping. We do not process or facilitate the actual Venmo transaction — customers are redirected to Venmo's platform. Venmo is operated by PayPal, Inc., and its use is governed by PayPal's/Venmo's own terms and privacy policy.
- Legal Requirements: We may disclose your information if required by law, regulation, legal process, or governmental request.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
- With Your Consent: We may share your information for any other purpose with your explicit consent.
Data Security
We implement reasonable administrative, technical, and physical security measures to protect your personal information. Third-party credentials (such as Square and Dropbox tokens) are encrypted using AES-256-GCM before storage. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.
Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with our Services. We may also retain and use your information to comply with legal obligations, resolve disputes, and enforce our agreements. Visit and appointment history is retained for reporting and business analytics purposes.
Your Rights and Choices
Depending on your location, you may have the following rights regarding your personal information:
- Access and Portability: You may request a copy of the personal information we hold about you.
- Correction: You may request that we correct inaccurate or incomplete information.
- Deletion: You may request that we delete your personal information, subject to certain exceptions.
